View Raw Data Reports

Raw data reports can be exported or viewed. To view the report on screen:

  1. Go to Reports >> Raw Data Reports and select the desired report to run.
  2. Instead of exporting the data to a file, click on the [View …] button at the bottom of the page.

Things you can do:

  • Rearrange columns: Click and hold your left mouse button over the header for the column you wish to move and drag it to its new location (and release the mouse button).
  • Sort: Click on the header for the column you wish to sort on. You can toggle between ascending and descending order (as indicated by the up/down arrows displayed in the header).
  • Pin: You can pin a column to the leftmost or rightmost side of the results. When scrolling, that column will stay in a fixed position. In the header for the desired column, click the button with the three horizontal lines and select “Pin Column”.  Select how you would like to pin (or unpin) the column.
  • Resize: You can resize a column to allow larger amounts of data to display fully in the cell. In the header for the desired column, click the button with the three horizontal lines and select either “Autosize This” or “Autosize All”.  You can also return column widths to their defaults by selecting “Reset Columns”.
  • Filter: You can change which rows are displayed by clicking the filter icon in the header for the desired column (you may have to click the icon with the three horizontal lines first). You can filter (depending on whether the data is textual, numeric or date) for the following conditions:
    • Equals, Not equal
    • Starts With, Ends With
    • Contains, Does not contain
    • Less Than, Less Than or Equal to, Greater Than, Greater Than or Equal to
    • In Range
  • Show/Hide Columns: You can change which columns are displayed by clicking the icon with the four vertical lines (you may have to click the icon with the three horizontal lines first). By checking the box beside the desired column(s), you can show or hide columns.

You can also save a raw data report.

Group Data

You can group the raw data you are viewing by one of your columns included in the output.

  1. Go to: Reports >> Raw Data Reports and select the desired report to run.
  2. Enter your filters and any search criteria (if appropriate) and run your search.
  3. Select the columns to include in your report.
  4. Instead of exporting the data to a file, click on the [View …] button at the bottom of the page.
  5. In the “Results” area, click on the “Columns” menu, which appears down the right side of the area.
  6. Drag the selected column down into the “Groups” area.  Your view is now grouped by the column you have moved.

EXAMPLE:

  1. Go to: Reports >> Raw Data Reports and select the desired report to run.
  2. Select all statuses.
  3. Click the [Search] button
  4. In the “Columns to Include” section, choose only FirstName, LastName, and City (from the “Basic Columns” section
  5. Click the [View Profiles] button
  6. In the “Results” area, click on the “Columns” menu, which appears down the right side of the area.
  7. Drag the “City” column down into the “Groups” area.  Your view is now grouped by the “City” column.

Produce Charts

You can produce charts of the raw data you are viewing.

  1. Go to: Reports >> Raw Data Reports and select the desired report to run.
  2. Enter your filters and any search criteria (if appropriate) and run your search.
  3. Select the columns to include in your report.
  4. Instead of exporting the data to a file, click on the [View …] button at the bottom of the page.
  5. In the “Results” area, click on the “Columns” menu, which appears down the right side of the area.
  6. Drag the selected column down into the “Groups” area.  Your view is now grouped by the column you have moved.
  7. Drag the selected column from the top down into the “Values” area to indicate the values you want to chart.
  8. Click on the options icon to the left of that column name to choose the type of function to apply. Depending on the data, values can include min, max, average, sum, and count.
  9. In the “Results” area, highlight the region containing the grouped column and the values.
  10. Right click on the selected range and choose “ChartRange” from the menu and then select the chart type (column, bar, pie, line, area, XY scatter / bubble). The chart type may offer sub-options.

EXAMPLE:

  1. Go to: Reports >> Raw Data Reports and select the desired report to run.
  2. Select all statuses.
  3. Click the [Search] button
  4. In the “Columns to Include” section, choose only FirstName, LastName, and City (from the “Basic Columns” section
  5. Click the [View Profiles] button
  6. In the “Results” area, click on the “Columns” menu, which appears down the right side of the area.
  7. Drag the “City” column down into the “Groups” area.  Your view is now grouped by the “City” column.
  8. Drag the “City column from the top down into the “Values” area to indicate that you want to use “City” as the value.
  9. Click on the options icon to the left of the “City” column (in “Values”) and select “Count” as the function to use.
  10. In the “Results” area, highlight the region containing the grouped column (City) and the values (Count).
  11. Right click on the selected range and choose ChartRange >> Pie >> Pie
