Assign Volunteers From a Calendar Grid

In a Calendar Grid

By default, you will be able to assign volunteers to selected activities within the two month period shown. By clicking on the green [Previous Month] or [Next Month] buttons, you can display a different two-month period.

Arrow to set the month forward or back

In the “Filters” section, you can optionally choose which Activity Category or specific Activity you would like to display.

  • < Min # signed up: The number of people signed up is less than the minimum specified for the shift/Activity (also known as “Vacant”)
  • Min # signed up: The number of people signed up is equal to or greater than the minimum specified for the shift/Activity
  • Min # scheduled: The number of people assigned is equal to or greater than the minimum specified for the shift/Activity
  • Min # confirmed: The number of people confirmed for an Activity assignment is equal to or greater than the minimum specified for the shift/Activity

To view scheduled activities for one date or an entire month

Move your mouse over a single date square or the month heading. You will see a list of status values (Vacant, Signed Up, Assigned, Confirmed). The first number represents the number of shifts with that status. The second number is the total number of shifts on that date/month.

  • To display all shifts on that date/month, click on the link to the date/month at the top of the pop-up window
  • To display all shifts for a specific status, click on the appropriate link within the box in the pop-up window

Scheduled Activities

  1. Go to: Assign >> From Scheduled List
  2. Optional: Choose which Activity Category and Activity to display
  3. Optional: Choose which Activity statuses to display
  4. Optional: Choose which day(s) of the week and date range to display
  5. Optional: Check the box next to “Make these my default filters” and these filters will happen automatically the next time you come to this screen. You can uncheck this box to cancel the filter pre-selection at any time.

Abbreviations Used in This Display

  • Av: The shift matches the volunteer’s general availability
  • Q: The volunteer has the necessary Qualifications for the Activity
  • SU: The volunteer has signed up for a shift of the Activity (or for the Activity, if seasonal/unscheduled)
  • As: The volunteer is assigned to a shift of the Activity (or to the Activity, if seasonal/unscheduled)
  • Co: The volunteer has confirmed an Activity assignment
  • SG: The scheduling gap between the number of people confirmed for the assignment and the minimum number of people needed for the assignment
  • BL: The volunteer is on the backup list for the Activity
  • L: The shift/Activity is locked, preventing volunteers from signing up for it
  • O: The volunteer is assigned to another scheduled Activity that overlaps with this shift
  • T: The volunteer is assigned to another scheduled Activity occurring on the same day, but not overlapping with this shift
  • GS: Enables the administrator to treat an individual profile as a group and specify how many people are assigned

Activity Statuses
