[accordion title=”Recurring Pattern of Shifts”]
This type of Activity occurs on a regular schedule with a recurring pattern of scheduled dates and times.
Worth noting:
- Schedule reports will show exactly when (date/time) a volunteer is assigned.
- You can edit the activity to add more shifts and remove shifts, if needed.
- As this is a scheduled activity, it must always have at least one shift.
- You can create a pattern of individual shifts and then save it as an Activity Shift Template for future use.
Creating a Set of Shifts the Recurs Daily or Weekly
- Select the day of the week and enter the start time and end time. If you need to remove a shift, click the [Delete] button.
- Click the [+ Add Shift] button to create more shifts
- Enter how often the pattern occurs (In almost all cases, this should be every 1 week.)
- Enter the date range of shifts to create or enter how many shifts to create based on the pattern
- If desired, click the [Check Shifts] button to see how many shifts will be created
Creating a Set of Shifts the Recurs Monthly
- Enter either the exact day of the month or select the relative date (e.g. “first” “Sunday”)
- Select how often the pattern occurs (every 1,2,3… months)
- Enter the date range of shifts to create or enter how many shifts to create based on the pattern
- If desired, click the [Check Shifts] button to see how many shifts will be created
Saving a Set of Shifts as a Template
When you create a new set of shifts that recur daily or weekly, its a good idea to save them as an Activity Shift Template so that you can use it again later. This could be for another Activity the has the same schedule and to add more shifts to an existing Activity later on.
- Click the [Save this as a template] button to save the pattern as an Activity Shift Template.
- Finish this step by click the green [Next] button. The [Save] button is greyed out because the minimum amount of information has not yet been added.
Using an Existing Template
If you have already created an Activity Shift Template (i.e. a list of shifts), you can use it when creating a scheduled Activity with a Recurring Pattern.
In the Schedule tab::
- Click the [Add Multiple Shifts] button
- Select the desired shift template from the droplist
- In “Pattern Range”, enter the start date and end date to create the shifts based on the pattern in your template
- Click the [Save] button
