Enable Group Scheduling

  1. Go to: Configuration >> Organization Settings >> General Settings
  2. In the “Scheduling and Hours Settings” check the “Enable group scheduling” checkbox
  3. Click the [Save] button at the bottom of the screen

By doing this, you will be able to attribute any number of volunteers to the profile of the group leader when you assign that leader to an Activity. If you have an Activity with 30 set as the maximum number of volunteers, and you schedule in a group of 20, the system will know you only have room for 10 more.

Show Number of Shift Openings to Volunteers

Tick this box to allow volunteers to see how many openings there are left in a shift. This can come in handy when volunteers want to volunteer with a friend or family member, and neither of them are on the schedule yet. If there is only one spot left on the shift, they will know not to sign up for that shift.

If you have enabled volunteers to see how many shift openings there are (when viewing the list of shifts in a scheduled activity), they will see how many open positions there are and how many total positions there are for the shift.  For example, “5/10” would mean that there are 5 open positions out of 10 total positions.

Based on the auto lock settings for your activity, here’s how those numbers are calculated.

For Activities set to Auto-Lock based on Assignments:

  • Positions Open = (MAXIMUM Volunteers) – (Volunteers currently ASSIGNED to the shift)
  • Positions Total =  (MAXIMUM Volunteers)

For Activities set to Auto-Lock based on Signups:

  • Positions Open = (MAXIMUM Volunteers) – (Volunteers currently SIGNED UP for the shift)
  • Positions Total =  (MAXIMUM Volunteers)

For Activities where Auto-Lock is not enabled:

  • Positions Open = (MINIMUM Volunteers) – (Volunteers currently SIGNED UP for or Volunteers currently ASSIGNED to the shift, whichever value is greater)
  • Positions Total =  (MINIMUM Volunteers)

(If the calculation for “Positions Open” results in a negative number, a zero will be displayed.)

Allow Volunteers to See Who is Assigned to an Activity or Activity Shift

This can be great help in team building because it helps volunteers learn the names of other volunteers faster.

The only names that will display to other volunteers are of those who have opted-in from their profile on MyVolunteerPage.com to allow this to happen. If a volunteer does give permission for their name to appear they have the choice of:

    • first name only
    • first name and last name only
    • first name and picture only
    • first name, last name and picture

If a volunteer has not given permission to have their name displayed, “Anonymous” will be shown instead. Only the volunteer can change their privacy settings. An administrator does not have access to the volunteer’s privacy settings.

Enable Volunteer Mobile Timeclock and Controlling Access

With this box ticked, volunteers can use their smart phones to start and stop their time clock. This can help you if you want volunteers to start or stop the time clock from a remote location or make it possible for large numbers of volunteers to start or stop the timeclock in a short period of time such as at a festival or other special event.

If you would like to restrict the use of this to volunteers who are actually at your facility, you can do so but you might need help from your IT team. Show them the “Restricted Timeclock IP Address Ranges” section of the General Settings page and they will know what to do.

Hours Log Permissions and Settings For Volunteers

In the Default Log Hours Permission option, choose “Can log hours with approval” if you would like to approve hours entries done by a volunteer in their profile on MyVolunteerPage.com. (You can override this for any number of individual volunteers.)

In the Default Timeclock Permission option, choose “Can log hours with approval” if you would like to approve hours entries done on any time clock. (You can override this for any number of individual volunteers.)

In the Default Date For New Volunteer Timelog Entries option, select whether or not the date field will be blank (“Blank Date”) or populated with “Today’s Date” when volunteers log their hours.

Allow Volunteers to See Their Recorded Feedback Fields

This option enables administrators to set whether or not a volunteer can see their Feedback Fields after they have logged hours. This would affect what the volunteer sees when:

  • Viewing an existing timelog entry
  • Viewing the graph in their REPORTS tab
  • Viewing / running the Hours & Feedback Report in their REPORTS tab

Volunteer Profile Section Headers

Any text you add here will appear above either the Custom Fields (“Additional Info”), Qualifications or General Interests section of a volunteer’s profile.

Similar areas that can contain different text are also available on the applications forms. For application form header text areas, go to Configuration >> Organization Settings >> Application Forms.

Custom Title for General Interests Section

  1. Go to: Configuration >> Organization Settings >> General Settings
  2. Scroll down to the “Customization Settings” section
  3. Enter the desired text in the “Custom Title For General Interests” field
  4. Click the [Save] button

Custom Public Home Page Text

Organizations can add “Custom Home Page” text that will display on the organization’s public home page. This area will only display when there is text associated with the field.

You can also view, edit or update this information from your administrative Home Page in Volunteer Impact.

Volunteer Qualification Alert Settings

  1. Go to: Configuration >> Organization Settings >> General Settings
  2. Scroll down to the “Volunteer Qualification Alerts” section
  3. Check the box if you only want volunteers with a status of “Accepted” to be included in the expired/expiring qualifications lists
  4. Enter the number of days prior to the expiration of a qualification that you wish to use when Volunteer Impact checks for qualifications that are going to expire
  5. Click the [Save] button

Birthday and Anniversary Alerts

Birthday Alerts

  1. Go to: Configuration >> Organization Settings >> General Settings
  2. Click the “Other General Settings” tab
  3. Check the box if you only want people with a status of “Accepted” to be included in the birthday alert list
  4. Enter the number of days prior to a person’s birthday that you wish to use when Volunteer Impact checks for upcoming birthdays
  5. Click the [Save] button

Anniversary Alerts

  1. Go to: Configuration >> Organization Settings >> General Settings
  2. Click the “General Volunteer Settings” tab
  3. Scroll down to the “Volunteer Anniversary Alerts” section
  4. Check the box if you only want volunteers with a status of “Accepted” to be included in the anniversary alert list
  5. Enter the number of days prior to a volunteer’s anniversary that you wish to use when Volunteer Impact checks for upcoming anniversaries
  6. Click the [Save] button

Google Analytics

  1. Go to: Configuration >> Organization Settings >> General Settings
  2. Scroll down to the “Google Analytics” section
  3. Enter the Track ID for your Google Analytics account. (This help article shows you how to set that up.)
  4. Click the [Save] button
