Search - By Classifications Selected in the Volunteer Profile

Search By Classification

If your organization is part of an enterprise that uses Classifications, you can search based on what volunteers have selected for those Classifications:

  1. Go to: People >> Search (or any other menu option that uses the search feature)
  2. In the “Module and Status Filters” section, select the desired statuses to include in the search. If you make multiple selections, you can include people that have:
    • Any of the selected modules and any of the selected statuses
    • All of the selected modules and any of the selected statuses
  3. In the “Communications Filters” section, optionally select the desired choice. Settings are broken down into three categories. You can make one selection from each category:
    • Email: Don’t Filter (default), Has Email, Has No Email
    • Mobile Email: Don’t Filter (default), Has Mobile Email, Has No Mobile Email
    • Text Messaging [this will only appear if Text Messaging has been enabled]: Don’t Filter (default), Has text messaging enabled, Does not have text messaging enabled
  4. In the “Group Filters” section, optionally select the desired choice: Don’t Filter (default), Individuals Only (profiles associated with one person only), Groups Only (profiles that have been defined as representing a group)
  5. Click the [Add Search Criteria] button. The available criteria corresponding to your module selections will appear first in the list, followed by other criteria. Instead of scrolling through the list, you can type a few letters of the criteria you want to use.
  6. Select the desired Classification in the drop-down list:
    • Activity Classification
    • Community Classification
    • Organization Classification
    • Suitability Classification
    • Duration Commitment Classification
    • Time Commitment Classification
  7. Choose to retrieve results that match “All”, “Any” or “None” of the Classifications you have selected
  8. Click the [Add] button to add the current search criteria to the list of things to include in the list and leave the screen ready for you to add something else – No search will be run yet.
  9. Click the [Add and Go] button to add the current search criteria to the list of things to include in the list and to execute a search – A search will be run.

  1. When running any sort of full search, click the green [Add Search Criteria] button
  2. Choose the type of field you would like to include in your search from the drop down list in the popup window
  3. Fill in the fields or make the required selections (more on this further down)
    1. Click the [Close] button to close the popup window – No search will be run yet
    2. Click the [Cancel] button to reset the popup window so that you choose something else – No search will be run
    3. Click the [Add] button to add the current search criteria to the list of things to include in the list and leave the screen ready for you to add something else – No search will be run
    4. Click the [Add and Go] button to add the current search criteria to the list of things to include in the list and to execute a search. – A search will be run.

  • All name fields, username, email address and postal/zip code – A match is created if what you type in matches the whole field or the beginning of it. e.g. Typing in “Janet” and searching will match on Janet. Typing in “Jan” and searching will match on Janet and Jane and Jan.
  • All other fields – A match is created if what you type in is contained anywhere in the field. e.g. Typing in “Bloomington” will match on City of Bloomington.

  1. Qualification: Select the Qualification you want to use .
  2. Match Type – Choose what you would consider a match – E.G. :
    • Ranked Qualifications (Is equal To, Is greater than or equal to, Is less than or equal to, Is empty, Is not empty)
    • Exact Match Qualifications (Is equal to, Is not equal to, Is empty, Is not empty)
  3. Level: Choose what you want to use in the comparison from the drop-down list (unless of course you selected ‘is empty’ or ‘is not empty’ in step 3)
  4. Expiry Date: If the Qualification has an expiration date associated with it, select the desired match type (Is not currently expired, Is currently expired, Is expired as of, Will expire between dates, Ignore expiry) and enter a valid date value (or range) if you have not selected either “Is not currently expired”, “Is currently expired” or “Ignore expiry” as a match type. By clicking in the date field, you can select a date from the calendar that pops up.

  2. Select the day(s) of the week and time(s) of day to include in your search.
  3. To select all days of the week for a specific time of day, click the checkbox in the column header for the time of day (Mornings, Afternoons, Evenings, Nights).
  4. To select all times of day for a specific day of the week, click the checkbox to the left of the row for the day of the week (Monday, Tuesday, Wednesday, Thursday, Friday, Saturday, Sunday).

  2. For shifts that are: For scheduled activities, select whether to consider shifts that occur “On or after today only”, “Before today only” or “Don’t Filter” (default).
  3. Activity Active Status: Select whether to consider “Only Active” activities (default), “Only Inactive” activities or “Don’t Filter”.
  4. In the selected category(ies): Select the checkbox(es) beside the desired Activity Category (or Activity Categories). Results are returned if the search finds a match in any Activity within the Activity Category (or Categories) selected.

  4. Click the [+] button for the desired Activity Category to select one or more Activities belonging to that Category. You can select any number of Activities within any of the Categories.

  1. Choose whter you want to search for volunteers that are either “On the Schedule”, “Not on the Schedule”, “On the Schedule but not confirmed” or “On the Schedule and confirmed”.
  2. Between: Enter the starting date and time along with the ending date and time for Activity assignments to include in your search.
  3. Category: Optionally filter for a specific Activity Category. If this is left at “Do not filter”, all Activities within all Activity Categories will be considered.
  4. Activity: Optionally filter for a specific Activity within the Activity Category selected above. If this is left at “Do not filter”, all Activities within the selected Activity Category will be considered.

  1. Search for volunteers whose hours logged value “Is greater than or equal to” or “Is less than or equal to” the number of hours that you specify.
  2. On Or After: Optionally enter the date value to search for hours worked on or after a specific date. If you also enter a value for “On Or Before”, you can search for hours worked within a date range. By clicking in the date field, you can select a date from the calendar that pops up.

  4. Category: Optionally filter for a specific Activity Category. If this is left at “Do not filter”, all Activities within all Activity Categories will be considered.
  5. Activity: Optionally filter for a specific Activity within the Activity Category selected above. If this is left at “Do not filter”, all Activities within the selected Activity Category will be considered.
  6. Select whether to consider only “Active” activities (default), “Inactive” activities or “Don’t Filter”.
  7. Include: By default, all types of hours log entries are included. If desired, check whether to include only “Approved Hours” or “Unapproved Hours”. You can still check both of the boxes.

  3. On Or Before: Optionally enter the date value to search for feedback logged on or before a specific date. If you also enter a value for “On Or After”, you can search for feedback logged within a date range. By clicking in the date field, you can select a date from the calendar that pops up.

  • This option searches the ”Birthdate” field (“Main” tab, “Contact” section) that is part of all volunteer profiles in Volunteer Impact.
  • This search includes the volunteer’s year of birth, enabling you to search for volunteers of a specific age range.
  1. Date of Birthday: Select the desired type of match from the droplist (Is less than or equal to, Is greater than or equal to, Is between, Is empty, Is not empty). Select “Is empty” if you are searching for profiles with no value for the Birthdate field. Select “Is not empty” if you are searching for profiles with a value (i.e. any valid date) for the Birthdate field.
  2. Enter the full date value (month, day, year) if you selected “Is greater than or equal to” or “Is less than or equal to” as a type of match. Enter two dates if you are searching for profiles with a Date of Birth value between two dates. You can also select dates from the calendar that pops up when you click in the date field(s).

  • This search includes the volunteer’s full start date (month, day, year), enabling you to search for volunteers with a specific time length of service.
  • On Or After: Optionally enter the date value to search for volunteers with a start date on or after a specific date. If you also enter a value for “On Or Before”, you can search for volunteers who joined within a date range. By clicking in the date field, you can select a date from the calendar that pops up.
