What is the Timeclock?

You can set up a computer to enable volunteers to “clock in” and “clock out” for their Activity assignments.

Once volunteers have logged in to the Timeclock at timeclock.myvolunteerpage.com (https://app.betterimpact.com/Login/VolunteerTimeclock), they will see a list of Activities to which they have been assigned. From this screen, they will be able to click on any one of those Activities to start a clock that will accumulate their hours for them.

Once their shift has ended, they can return to the Timeclock to stop accumulating their hours and enter values for any applicable Feedback Fields for the Activity. They will also have the option to begin recording hours for a new task by clicking on the [Start a New Task] button without having to log out and log back in.

[alert heading=”Note” type=”alert-info” block=”false” close=”false”]The Timeclock will display a warning message if a volunteer is idle on the Timeclock for a certain amount of time (see below). Then, after waiting 30 seconds, if the page still remains inactive, they will be logged out.

Timeout warning values:

  • Select Organization page (News, Personal Message, etc.): 30 seconds inactive
  • Start Clock page: 20 seconds inactive
  • Stop Clock page: 10 seconds inactive[/alert]

Kiosk Mode Set Up

It is recommended that you set up the computer that will be used by volunteers to access the Timeclock in kiosk mode so that volunteers cannot see the time clock URL or go off other websites.

Kiosk Instructions

CHROME

  1. Close any currently running Google Chrome browser session
  2. Create a desktop shortcut for the Google Chrome executable and name it “Timeclock”
  3. Edit the shortcut (properties) and change the “Start In” value (keeping any directory prefix before “chrome.exe” executable) to: chrome.exe -kiosk https://app.betterimpact.com/Login/VolunteerTimeclock
  4. Click on your new shortcut
  5. Press [Alt+F4] on your keyboard to close the kiosk


INTERNET EXPLORER

  1. Close any currently running Internet Explorer browser session
  2. Create a desktop shortcut for the Internet Explorer executable and name it “Timeclock”
  3. Edit the shortcut (properties) and change the “Target” value (keeping any directory prefix before “iexplore.exe” executable) to:
    iexplore.exe -k https://app.betterimpact.com/Login/VolunteerTimeclock
  4. Click on your new shortcut
  5. Press [Alt+F4] on your keyboard to close the kiosk


MOZILLA FIREFOX

  1. Get the “R-Kiosk” Firefox extension at: https://addons.mozilla.org/en-US/firefox/addon/r-kiosk/
  2. Close any currently running Mozilla Firefox browser session
  3. Create a desktop shortcut for the Mozilla Firefox executable and name it “Timeclock”
  4. Edit the shortcut (properties) and change the “Target” value (keeping any directory prefix before “firefox.exe” executable) to: iexplore.exe -url https://app.betterimpact.com/Login/VolunteerTimeclock -r-kiosk
  5. Click on your new shortcut
  6. Press [Alt+F4] on your keyboard to close the kiosk
  7. Disabling kiosk mode requires starting Mozilla Firefox in “safe mode”


SAFARI (iPad)

  1. On your iPad, go to Settings >> General >> Restrictions
    1. In the “Allow” section, turn ON Safari and turn OFF everything else
    2. In the “Allowed Content” section, click on “Websites”
      1. Check “Specific Websites Only”
      2. Remove any websites that are in the “ALLOW ONLY THESE WEBSITES” section by clicking on then, pressing the “X” in the URL box, and clicking “Done”.
      3. Click “Add a Website”
        1. Enter the title “Timeclock”
        2. Enter the URL: https://app.betterimpact.com/
  2. Go to Settings >> General >> Accessibility >> Guided Access (this is found near the bottom, under “LEARNING”)
    1. Turn ON “Guided Access”
    2. Click “Passcode Settings”
      1. Click “Set Guided Access Passcode”
      2. Enter the Passcode to lock the Guided Access on
      3. Enter the Passcode again
  3. Launch Safari and immediately press the iPad’s “Home” button three times
    1. When the Guided Access interface appears, press “Start”
    2. Navigate to: https://app.betterimpact.com/Login/VolunteerTimeclock

NOTE:  If your iPad gets stuck in “Guided Access” mode, you will have to do a “forced reboot” by pressing and holding the [Home] button and [Sleep] button at the same time for 15 seconds. This will turn off your iPad. Press and hold the [Sleep] button to restart your iPad. You can now use your passcode to turn off “Guided Access”.

Permissions

  1. Go to: Configuration >> Organization Settings >> General Settings
  2. Select the desired timeclock timelog permission for all volunteers from the dropdown list (Cannot log hours, Can log hours with approval, Can log hours without approval). Note that this can be different from the setting you apply for volunteers logging hours through their “Hours” tab in the MyVolunteerPage.com profile.
  3. Click the [Save] button at the bottom of the screen

Timeclock Access Restrictions

You can restrict the use of the timeclock (i.e. starting and stopping a timeclock) to only volunteers who are on your network. This means that you can allow them to punch in and out on the mobile timeclock (on their smart phones or tablet) or at your kiosk, while ensuring that it only happens when they are at your facility.

Consult your I.T. Support team for their help on this as it is fairly technical

  1. Go to: Configuration >> Organization Settings >> General Settings
  2. Enter the external IP Address / CIDR Range for your network
  3. Click the [IP Address / CIDR Range] and then save.
